This Privacy Policy explains how Cognaize Holdings, Inc. ("Cognaize," "we," "us," "our") processes personal data when you visit our website at cognaize.com (the "Website"), request a demo, or contact us by email. It does not cover data our customers process on the Cognaize platform; that processing is governed by our agreements with those customers.

2. Summary

  • We do not use cookies, analytics, advertising pixels, or any other tracking technologies on the Website.
  • We collect personal data only when our hosting provider logs your visit for security and operation, and when you choose to send us information through the demo form or by email.
  • We do not sell or share your personal data for advertising, and we do not use it for automated decision-making or profiling.

3. Visiting the Website

The Website is hosted by Netlify, Inc. (USA). When you load a page, your browser automatically sends technical information that the hosting provider records in server logs: your IP address, the date and time of the request, the page requested, the referring page, and your browser and operating system (user agent).

This data is used only to deliver the Website, keep it secure, and detect and prevent abuse. It is not combined with other data or used to identify you. The legal basis is our legitimate interest in operating a secure website (Art. 6(1)(f) GDPR). Log data is kept by the hosting provider for a limited period and then deleted.

All fonts, images and scripts on the Website are served from our own domain. Your browser does not contact any third-party service when you browse the Website. The only exception is the videos on some of our news pages: each video is shown as a still image, and the YouTube player is loaded from Google only if you press play. From that point, Google's privacy policy applies.

4. Requesting a demo

When you submit the "Request a demo" form, we collect your first and last name, work email address, company name, job title, and country or region. You may also choose to give us your phone number and details about your use case.

We also record how you reached the form, meaning the referring website or the campaign tag in the link you followed, so we know which channels bring enquiries.

We use this information to respond to your request, schedule and prepare the demo, and communicate with you about it. The legal basis is taking steps at your request prior to entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in responding to business enquiries (Art. 6(1)(f) GDPR). Providing the required fields is necessary for us to handle your request; if you do not provide them, we cannot respond through the form.

The form also contains a hidden field that is used only to filter out automated spam submissions. It is not intended to be filled in by people.

Form submissions are transmitted to our server and stored in our lead database, hosted on Amazon Web Services (Amazon Web Services, Inc., USA). Each submission also triggers an alert email to our sales team, sent through our email system, provided by Google LLC (USA).

We keep demo request data for as long as needed to handle your request and any resulting business relationship. If no business relationship results, we delete it after 24 months, unless we are legally required to keep it longer.

5. Marketing emails

If you tick the box "Cognaize may email me about products and events," we will use your name and email address to send you information about our products and events. The legal basis is your consent (Art. 6(1)(a) GDPR).

You can withdraw your consent at any time, without affecting the lawfulness of processing before withdrawal, by using the unsubscribe link in any of our emails or by writing to info@cognaize.com. We keep your data for this purpose until you withdraw consent. Marketing emails are sent using our email system, provided by Google LLC (USA).

6. Contacting us by email

If you email us, we process your email address, name, and the content of your message to respond to you. The legal basis is our legitimate interest in answering enquiries (Art. 6(1)(f) GDPR), or steps prior to a contract where your message relates to one (Art. 6(1)(b) GDPR). We delete this correspondence when it is no longer needed, unless we are legally required to keep it.

7. Links to other websites

The Website contains links to external sites, such as our team members' LinkedIn profiles. These are plain links: no data is transferred to those sites unless you click them. Once you leave the Website, the privacy policy of the site you visit applies.

8. Who receives your data

We share personal data only with service providers that process it on our behalf and under our instructions, namely our hosting provider and the providers named in sections 4 and 5, and with authorities where we are legally required to do so. We do not sell personal data and do not share it with third parties for their own marketing or for cross-context behavioral advertising.

9. International transfers

Cognaize is based in the United States, and so are the service providers named above. If you are located in the European Economic Area, the United Kingdom, or Switzerland, your personal data is therefore transferred to the United States. Where required, we rely on the European Commission's adequacy decision for the EU-U.S. Data Privacy Framework (for certified recipients) or on Standard Contractual Clauses approved by the European Commission, together with any supplementary measures needed. You may request a copy of the relevant safeguards by contacting us.

10. Your rights

Under the GDPR and UK GDPR, you have the right to:

  • access the personal data we hold about you (Art. 15);
  • have inaccurate data corrected (Art. 16);
  • have your data erased (Art. 17);
  • restrict processing (Art. 18);
  • receive your data in a portable format (Art. 20);
  • object to processing based on our legitimate interests, on grounds relating to your particular situation, and to object at any time to direct marketing (Art. 21);
  • withdraw consent at any time with effect for the future (Art. 7(3)); and
  • lodge a complaint with a data protection supervisory authority, in particular in the country where you live or work (Art. 77).

11. Additional information for U.S. residents

In the past 12 months, we have collected the following categories of personal information: identifiers (name, email address, phone number, IP address); professional information (company, job title); and internet activity (server log data as described in section 3, and the referring website or campaign tag recorded with a demo request). We collect this information from you directly and from your browser automatically, for the purposes described above.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not collect sensitive personal information. Depending on your state of residence, you may have the right to know what personal information we hold about you, to access, correct, or delete it, and to not be discriminated against for exercising these rights. If we deny your request, you may appeal by replying to our decision.

12. Security

The Website is served exclusively over encrypted HTTPS connections. We use appropriate technical and organizational measures to protect personal data against loss, misuse, and unauthorized access. No method of transmission or storage is completely secure, however.

13. Children

The Website is intended for business users. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.

14. Changes to this policy

We will update this Privacy Policy if our processing changes, for example if we introduce new services on the Website. The date at the top of this page shows when it was last updated.
